1 POSITION DESCRIPTION Department: Office of Admissions & Student Outreach Position Reports To: Director of Admissions & Position Title: Admissions Officer, School Partnerships Student Outreach Coordinator & Recruiter Classification: Student Services Professional II Job Code: 3082 Range Code: 1 Time Base: 1.0 Exempt or Non-Exempt: Exempt Position Number: Last Update: 06/14/2017 Union / Unit (if applicable): Academic Professionals of California/Unit 4 PURPOSE OF POSITION: Under the general direction of the Assistant Director of Systems and Operations, the Admissions Officer collaboratively coordinates the outreach, outreach, admissions and yield efforts for the University s Alliance partnership programs, including Memorandums of Understanding with San Marcos Unified School District, Escondido Union High School District, Valley Center Unified School District, Temecula Valley Unified School District, Oceanside Unified School District, Fallbrook Unified School District and other future partnerships as well as responsibilities for general outreach and admissions evaluation in the Office of Admissions and Student Outreach. The incumbent provides personal and academic guidance in relation to admissions preparation and requirements. The incumbent serves as a liaison to administrators, faculty, and staff in the partner districts regarding academic preparation, admissions evaluation and processing as well as campus support offices regarding individual students. Serves as liaison for CAMP, EOP, DSS, and Financial Aid & Scholarship Offices to support transition of partnership programs students as well as recruitment and school relations responsibility for assigned community colleges and high schools. As an Admissions Officer, the incumbent is also responsible for counseling and advising of the general public including, but not limited to, prospective applicants, parents, faculty, and administration on admission-related issues; and participating in various recruitment and yield activities. The position interprets the requirements for admission and makes independent decisions regarding the acceptance of coursework to the University and represents the University and the Office of Admissions & Student Outreach at high school and community college conferences and meetings. In addition, the incumbent will evaluate academic records and make decisions regarding admission for freshmen and transfer applicants based upon University policies. The position has a professional level of expertise in all areas of admissions for freshman and transfer applicants, and a comprehensive knowledge of educational processes. This expertise is acquired through experience in the position and additional training in specialized areas. Utilizing established department guidelines and deadlines, the incumbent independently completes tasks. The position serves as resource to other University staff for issues and problems related to admission to the University. The position is also a resource to the external community: high school and community college counselors, representatives from other universities, and academic and program advisors and administrators. MAJOR RESPONSIBILITIES: %OF TIME Admissions Evaluation 50% School/Community/Alliance Partnership Planning and Coordination 40% Administrative 10% LIST OF DUTIES FOR EACH MAJOR RESPONSIBILITY: Admissions Evaluation Independently analyze and review freshman and transfer applicant records to determine eligibility for admissions. Complete admissions evaluation of assigned freshman and/or transfer applicant lists. Interpret and apply policies from Title V of the California Administrative Code, the California State University Office of the Chancellor, and the University.
2 Compute applicant grade point average. Evaluate transfer coursework for specific subject area and unit requirements. Communicate with applicants and/or schools to request additional application documentation or information. Determine and notate acceptable transfer coursework for general education from private and out-of-state institutions. Explain admission decisions, policies, and procedures to applicants. Enter appropriate application decision information into student information system. Prepare appropriate communication to applicants regarding admissions status. School/Community/Alliance Partnership Planning and Coordination Develops, plans, coordinates, and evaluates programs and services in support of Alliance school partnership programs with San Marcos Unified School District, Escondido Union High School District, Valley Center Unified School District, Temecula Valley Unified School District, Oceanside Unified School District Fallbrook Unified as well as additional partnerships in the future. Projects annual resource requirements for school partnership programs; prepares annual reports. Plans and implements programs and services at specific intervention points to support college awareness, pre-collegiate academic preparation, post-admission transition and enrollment. Facilitates agreements with campus entities, organizations and offices to support school partnership programs. Coordinates with on-campus and off-campus outreach programs to support academic preparation and development of college-going culture. Coordinates with Financial Aid & Scholarship staff to facilitate outreach and aid disbursement of externally-developed funding for qualifying participants. In collaboration with school district staff, develops and implements marketing plans for partnerships programs. Collaborates with other units in Student Affairs and Academic Affairs to develop strategies for seamless matriculation, enrollment and transition for program participants. Collaborates with other external Outreach programs providing services to partnership districts. Independently compiles data and metrics on annual admissions evaluations; compiles and distributes reports on evaluation activities Regularly analyzes the admission cycle, identifying problems and making recommendations to the Director that will improve the efficiency and flow of those processes. Develops annual assessment plan for school partnership programs. Monitors academic progress of student participants in partnership programs. Plans, schedules, and presents recruitment services to prospective high school and community college students. Develops and presents CSU and CSUSM specific information workshops/sessions related to admissions requirements, financial aid, student support services, housing, and academic programs. Provides on-going services to assigned schools, community colleges and education-related organizations. Attend recruitment events throughout the United States. Provide information and literature to prospective students and parents. Provide follow-up communication with prospective students. Serve as a resource for prospective students, applicants, high school and community college counselors, faculty, staff, administrators and the general public. Responsible for communicating time sensitive, complex materials, and policy decisions to Transfer Center Directors, counseling departments, department chairs, and appropriate high school and community college administrators. Participates and/or presents at annual CSU Counselor Conferences. Represents the CSU and campus at programs and events for prospective students, parents, counselors, educators and community members. Meet with prospective students to provide pre-admission advising. Provides on-site advising to prospective students which includes: understanding and interpreting high school and community college transcripts, courses completed and planned, subject requirements, test results as they correlate to the Grade Point Average and the CSU eligibility index, assessment of academic history to evaluate class standing/status. Advises prospective students on appropriate student support services that best serve their educational, social, and academic development needs. Prepares and conducts presentations on CSUSM and the CSU system to educational institutions, business community, and community based organizations. Conducts application workshops at school and community sites. In consultation with Director, develops annual recruitment schedule. Provides information and recommendations on recruitment publications and web site.
3 Administrative Attend and participate in Admissions & Student Outreach meetings, division retreats and planning sessions. Attend appropriate or assigned campus wide events. Explore opportunities for collaboration and coordination of activities and events with members of Enrollment Management Services and the campus community. Represent the Office of Admissions & Student Outreach at various campus events and organizations. Represent the Office of Admissions & Student Outreach and the campus at various off campus and community meetings. Ensure appropriate information is collected and analyzed for effective communication to prospective students. Assist with EMS activities to support start of semester or other peak periods. Serve on EMS or department committees as requested. PROVIDES LEAD DIRECTION OF OTHERS: Student assistants. REQUIREMENTS OF POSITION: 1. List certificates, licenses, or education required. Bachelor s degree required from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities below may be substituted for the required education on a year-for-year basis. Minimum 2 years professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth. A Master s degree in a job-related field may be substituted for one year of the professional experience. Master s degree preferred in the areas of Education, Counseling, Public Administration, Sociology or related field. Valid CA Driver s License, Class C. 2. List additional knowledge, skills, and abilities required for this position. Working knowledge of the practices, procedures and activities of admissions and Student Outreach. General knowledge of the methods and problems of organizational and program management. General knowledge of research and interview techniques. General knowledge of the principles of individual and group behavior. Ability to interpret and apply program rules and regulations. Experience using initiative and resourcefulness in planning work assignments and in implementing long-range program improvements. Experience obtaining factual and interpretative information through interviews. Ability to reason logically. Experience collecting, compiling, analyzing and evaluating data and make verbal or written presentations based on these data; experience advising students individually and in groups on routine matters where required. Ability to recognize multicultural, multisexed, and multi-aged value systems and work accordingly. Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts. Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of CSU San Marcos. Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas. Program coordination and planning skills to support partnerships. Ability to establish and maintain cooperative and effective relations with University employees, students and the public to support partnerships. Strong written and oral communication skills to present admissions and outreach information. Demonstrated public speaking to communicate admissions and program requirements. Experience in workshop development for students, families and community to collaborate with partners.

Knowledge and application of CSU eligibility and admissions requirements to provide comprehensive services. Detailed knowledge of Cal State San Marcos academic, co-curricular and student life programs to recruit students. Experience analyzing and evaluating transcripts, coursework, credits, records and related materials to review applicant. Ability to establish and maintain effective working relationships with a wide range of staff, administrators and the general public to support programs. Ability to work effectively as a professional member of the Office of Admissions and Student Outreach team. Bilingual, Spanish-speaking to provide services; (Preferred) Ability to demonstrate an awareness and appreciation of the cultural diversity of the University community, and establish and maintain cooperative and effective relations with University employees, students and the public. 3.
