1 Selection Steps: District 1. Once a committee is established (we recommend a committee of at least 3 people), each Committee Member, Committee Chair, or representative of the committee will go to and log in with the username and password below. Note: The Chair should assemble their committee. See the EvaluatingApplications-District document for further information about the committees. Username: ElksDistrictCommittee@scholarship.ists Password: Mvs2017# (case sensitive) 2. Once logged in, click on the Elks MVS Scholarship Application link in the Report Section, on the right side of the screen. Select which applications you would like to view, using the drop-downs. Top (top 20) or all Boys or girls?

2 You will now need to enter the Report Key to access the District applications. Your specific Report Key was included with your District Judging announcement. 3. Once the Report Key has been entered, you will be taken to the Applications Report. In the Select a format drop down, select PDF and then click Export. You will have the option to Open or Save the application packet. Once you open or save, you can view the PDF packet on your computer or you can print the packet. 4. Committee Members will review all applications to give overall points. Refer to the EvaluatingApplications-District document for more details. The committee can enter their score information on the scoring sheet near the beginning of the application packet or they can use the 2017 MVS Scoring Worksheet to take notes. Individual committee members are not required to report their individual scores to ISTS or ENF. These documents can be located in the Shared Documents section of the Selection Committee Dashboard (

3 A total of 40 points may be given and the point allotments are below: A. Academics Up to 5 additional points can be given after reviewing the Applicant s GPA, class ranking, and class schedule: i.e., quality of courses; rigor and intensity of courses; strong, average or weak senior course load; presence of honors and/or AP courses, if available; and the number of those courses being taken by the applicant and the information on the Counselor Report. B. Financial Need - Up for 5 additional points can be given for the Financial section based on any extenuating circumstances the applicant may list on their application. C. Essay - Each essay will be scored (up to 10 points) based on the mechanics, style and content of the essay. Essays should be clearly written and well organized, and should sustain a well-focused discussion. The essay should enable you to get to know the applicant better. The writer should explore ideas with insightful reasoning, persuasive examples, a mature outlook and/or a deep concern for society. More important, what do you think of the applicant s response? Is it well written? Will this applicant make us proud to call him or her an Elks scholar? D. Discretionary Points - The Committee Members may also add up to 20 discretionary points to their score for applicants who have an exemplary Resume (Community Service, Extracurricular Activities, Honors and Awards, and Employment). The discretionary points are optional and should only be used for those who truly are the definition of a Most Valuable Student. Following committee scoring, the Scholarship Chair must add together committee member scores and divide by the number of committee members. The final average committee score is the applicant s Subjective Score that will be entered into the selection portal by the Committee Chair.

Once the Committee Chair has the average Subjective Scores and is ready to complete the scoring process, they will go to and log in with their unique username and the temporary password scholarup1#. The username was included in the District Judging announcement, but all Committee Chair usernames use the format: The XX is the District number. As an example, District would have the username

5 6. When the Chair logs in the first time, they will be asked to select their own password to be used for all future logins. If the Chair forgets their password, they can use the forgot password link on the login screen and the password will automatically reset back to scholarup1#. The Chairs do not have to wait to receive a password reset notification, once they complete the forgot password process, they will be able to use the initial temporary password. 7. After the Lodge Chair logs in and resets their password, they will be on their Evaluation Homepage. The homepage will show two evaluation sections, one for the boys and one for the girls. The following steps will be to be done twice, once to score the boys and again to score the girls. Each group (boys and girls) has their own separate form that must be completed. The Chair can review the boys and girls in any order as long as they remember to return to the homepage after they click submit and review the other group. All eligible applicants in each group will be listed in ranked order by their Objective Score. Note: the numerical score will not be shown. The Chair will enter the average committee Subjective Score in the field

6 corresponding to each applicant. The Chair is not required to enter a score for each applicant, but any applicant without a Subjective Score will be ranked by their Objective Score only when the top applicants are selected to move forward. 8. When the Chair has entered their name, address to receive notifications, and all subjective scores, they must click the Save/Submit tab at the top of the screen and then click the SUBMIT button. The Chair MUST double check that all scores have been entered correctly as access to the scoring page will be blocked once the scores are submitted. If a Chair has entered their scores but would like to wait to click SUBMIT, they must click the Save/Submit tab to save the scores they have already entered. They can return to click SUBMIT until the deadline. 9. Once all Subjective Scores are entered and the Chair submits the evaluation, the Subjective Score will be added to the Objective score and applicants will be re-ranked by their combined Total Score (This is not visible to the Chair). The three boys and three girls with the highest total scores from each Lodge will be advanced to District judging. If a Lodge is part of a state that does not participate in District Judging, the Lodge s top three boys and girls will advance directly to the State Finalist round. The Scholarship Chair will receive a report via of the Districts s winners after the deadline of January 16 th.

7 Please note: A District that does not enter Subjective Scores by the District judging deadline will have its applicants advance to the next level of judging based solely on the applicant s Objective Score.
