If you don t receive any reply from our office, please send your again, from a different server or contact us by phone. 1. Registration at the host university Visit the website of the host university (where you are going to study) in order to find information about: deadlines of on-line registration, documents required, study programme, ECTS system, availability of student accommodation, contact persons, maps and practical information for foreign students, Erasmus Students Network, academic calendar, orientation course etc. Pay special attention to the deadline for the on-line registration and/or the deadline for sending in your application form (for EU and non-eu students); find out well in advance whether you need a visa and if so, make sure you get all the required documents well in advance; check if the partner university requires from you some kind of confirmation of your language skills. When in doubt, the Erasmus office / the International Relations Office at the host university to find out. Universities require various forms of on-line student registration. Apart from on-line registration, you may also be asked to send in a registration form printed from their own on-line system, stamped and signed by the UW. If the host university still has not contacted you directly, try to find the registration procedures on the host university s website, and if you cannot find any information for the future Erasmus students try to contact: - the Erasmus Office at the host university Incoming students (their names may be different, example: International Relations Office, Mobility Office, etc.) - the Departmental Coordinator at the host university - the Institutional Coordinator at the host university addresses and telephone numbers of the people in charge of Erasmus exchange should be listed on the university s website. In agreement with your Erasmus Departmental Coordinator, establish your study program to be carried out at the host university. You will have to complete your Learning Agreement BEFORE the Mobility (LA), in Polish referred to as Porozumienie o programie studiów. You will find out more about the LA later in this guidebook. 1

2 2. Your documents for the host university Some universities may require your Transcript of Records before your arrival, in order to see the academic courses you have taken and the results you have achieved so far in your field of study. You can obtain a printed copy of your Transcript of Records in English at your Dean s Office / Students Office (Dziekanat). The International Relations Office of the University of Warsaw (IRO UW) DOES NOT issue nor sign Transcripts of Records. You may be asked by the host university to submit a certificate in English, confirming your Erasmus+ student status (Confirmation of nomination, Nomination Letter, etc.). On your request, the IRO UW can issue this document for you we will ask you about your exact study dates in order to issue this document. In the application form you may be asked to provide more details, such as: your Erasmus study area code you can find your study area code in USOSweb profile student s section > student exchange > mobilities > view the Erasmus code of the UW - PL WARSZAW01 PIC number The UW Erasmus University Charter for Higher Education (ECHE EPP PL-EPPKA3-ECHE) If the host university requires you to send a Learning Agreement at this stage, please use the current form of Learning Agreement BEFORE the mobility, available at: Complete it electronically according to the instructions in pt 5. Please remember! you send all the documents required by the host university yourself; you need to arrange your accommodation yourself; complete all forms electronically; make sure that all your documents are complete, correct and that they reach your host university before the deadline, in order to avoid problems; always make a copy (scan) of what you send by post; make sure that the personal data you give is valid (ex. your address). 3. Resignation Be responsible. If you decide not to participate in the Erasmus programme, file your official resignation with the Erasmus Departmental Coordinator s written approval on it and pass it to the IRO UW as soon as possible. You also need to inform the host university about your decision. Attach a printout of your to the host university to the Resignation Form. The resignation form is available here: 2

3 Make sure that you will not be charged with any costs related to your resignation e.g. for having booked a room in a student residence. 4. Confirmation of Acceptance As soon as you have registered on-line, completed and submitted your application form within the deadline, the host university must confirm, in some form, that you have been registered as an Erasmus student in their system. The confirmation of acceptance may take the form of a formal letter of invitation sent by post, but it may also be a less formal , confirming that you are simply welcome as an Erasmus student. It is essential that you know the date when you are required to start your studies at the host university. If the letter of acceptance doesn t contain the exact start and end dates of your study period, you need to find out these dates from the academic calendar of the host university or by contacting the Erasmus office in the host university. This information is important in calculating the amount of your Erasmus grant (calculated on a daily basis). You will be asked for these dates when you sign the financial agreement at the International Relations Office at the UW. Please note! If you are going to participate in an optional language course, or an orientation course ( induction days, adaptation days, etc.) organised by the host university, make sure whether this period will be treated by the host university as part of your Erasmus study period. Find out from the host university whether the orientation course or the language course will be included in your Letter of Confirmation, issued at the end of your stay abroad. You will need to know this when you sign the financial agreement before your mobility. Please note! If you need a visa to study abroad, ask the host university to send you a hard copy of the Letter of Acceptance to your address. The original of the document may be required by the embassy together with other documentation. Obtaining a visa for studies in the chosen country is your responsibility and it may require obtaining other documents (e.g. a certificate of no criminal record). 5. Learning Agreement Before going to the host university, all Erasmus students must complete a study contract, called a Learning Agreement. At the UW it is required in two forms: Learning Agreement BEFORE the mobility on paper, signed by 3 parties (you, your Erasmus Coordinator at the UW and the Erasmus Coordinator at the host University) Electronic Learning Agreement (e-la) which you complete in your USOSweb mobility profile. 3

4 In order to sign the Erasmus financial agreement and receive the Erasmus grant, you must have BOTH Learning Agreements. a) LA BEFORE the Mobility is a document required by the European Commission, available at IRO s website: the document is an active PDF file; you need to open it using Adobe Acrobat Reader DC and complete it electronically; all the required fields must be completed (Table A, Table B, Other specific requirements = courses or exams to be taken at the UW during your Erasmus term abroad, etc); make sure to send your LA BEFORE the Mobility early enough for the host university to sign it and send it back to you before you sign the Erasmus financial agreement at the IRO (some host universities may have a long summer break and getting your LA signed may take some time). Please remember that the LA BEFORE the mobility is used to settle on a preliminary list of subjects. If you want to delete courses from the list or add new ones to it, you will NOT need to complete another LA BEFORE the mobility. All changes to the study plan must be done with the use of the electronic Learning Agreement in your USOSweb profile. b) e-la in your USOSweb Apart from the obligatory LA BEFORE the mobility, all UW Erasmus students must complete an electronic Learning Agreement in their USOSweb profile. The e-la will be visible to the Erasmus Coordinator at the UW, the IRO and the Dean s Office. 4

5 You will be able to fill in your e-la when the Dean s Office creates such a form in your profile. If you cannot see the e-la in your USOSweb, or if it doesn t work properly, contact your Dean s Office / Students Office (dziekanat / secretariat) about it. LA BEFORE the mobility (a summary) 6. How to complete your e-la? Every UW outgoing Erasmus student must have an electronic Learning agreement created by the Dean s Office in their USOSweb profile. You can find it at: student s section > student exchange > mobilities > learning agreement If you see a message that no Learning Agreement has been created for your mobility, contact the Dean s Office. You will be able to fill out your e-la a day or two after it is created by the Dean s Office (there s a delay due to data migration between USOS and USOSweb). All the courses you have chosen to follow at the partner university must be listed in your e-la. In order to create a list of your courses, follow the path: learning agreement > details of the agreement > define new external course Each course must be defined separately; Name (of the course) write the name of the course in the original language of instruction; Name (in English) if it is not provided, you will need to ask the partner university for a name of the given course translated into English (you can complete this field when abroad); Course coordinator complete this field with the name of the academic teacher running the course. 5

6 You must provide the number of ECTS credits for every course even though the field is not obligatory Please note: You may see the following message appear in your e-la: The Student has not completed the term... in the academic year 2017, hence the decision is not valid. This may be due to errors in the administrative data entered in the system It only means that you have not been registered for the next stage of your studies, during which you will be studying abroad. Despite seeing the above message, complete your e-la as described above (your e-la works properly). Please note: Before going abroad, make sure that your e-la is assigned to the current stage of your studies (academic year and/or term). This is particularly important for students of the 1 st year of the second cycle of studies. If you see in your USOSweb profile that your e-la is assigned to the previous year and /or term, contact the Dean s Office. Having completed your e-la, the Erasmus Departmental Coordinator at the UW, asking him/her to accept your study plan. When your Erasmus Departmental Coordinator accepts your e-la, you will not be able to make any changes to the existing study plan unless the coordinator gives you another chance to change the course list (editing the list of courses will be blocked once it is approved by the coordinator). Please note: The courses in your e-la have been accepted if you see the following message in your profile: "The Learning Agreement has been approved. It should be printed and signed (correspondence will ensue). Subsequent edition of the agreement is possible until its expiration date in USOSweb. The status of the decision should change to: accepted by the Coordinator. Please note: e-la is obligatory at the University of Warsaw and only the courses entered in your e-la will be taken into account by your department at the University of Warsaw. 7. OLS language tests if you have declared that your language of instruction at the host university is one of the following languages: Czech, Danish, Dutch, English, French, German, Greek, Italian, Portuguese, Spanish or Swedish, 6

7 you will have to do two language tests on the OLS (On-line Linguistic Support) website, one before your mobility and one after. You must do the first OLS test before you sign the financial agreement at IRO. The tests are obligatory and only native speakers of the given language are exempt from them. The link to the test is sent automatically by the OLS tool to students addresses stored in USOS. IRO UW will publish an announcement with information when the links to the test will be sent this year. Students going abroad to study in the 1 st term (or full year) will receive the in June or July. Students leaving for the 2 nd term will receive the in November or December. The link to both tests will remain active for 30 days only! The second language test will be sent to your in the middle of the last month of your mobility. Please note! If you find out that the actual language of instruction at the host university is not the one you declared earlier (e.g. it turns out that there are no courses available in English and you will have to study in French) contact the IRO as soon as possible, so that you receive a test of the correct language of instruction. After you receive a link to the test it will be too late to change the tested language. The result of your test will be one of the levels on the grading scale: A1-A2- B1-B2-C1-C2. If your result is below B2, you will be allocated a free online course of the tested language, so that you can improve your performance and reach the required minimum of B2. Please note! One of the components of the test is a listening comprehension task. Before you start the test, make sure you have the necessary audio equipment to do the part which requires listening. The test will take up to 70 minutes, so make sure you allow yourself sufficient time to do your best. 8. Insurance In order to sign the financial agreement you must have insurance, valid until the end of your Erasmus mobility. If you are insured in the Polish National Health Fund and pay a regular contribution and if you are going to study at an EU or EFTA (European Free Trade Association) member state, you can apply for a European Health Insurance Card (Europejska Karta Ubezpieczenia Zdrowotnego EKUZ). You can file your application at the regional branch of the National Health Fund (Narodowy Fundusz Zdrowia NFZ). The application form is available at If you have a European Health Insurance Card issued in your country of origin, it will also be accepted by IRO UW. Check what services you are entitled to with the card and what to do with it after you arrive at the destination country. 7

8 If you are not entitled to a European Health Insurance Card, you will need to purchase an insurance policy in an insurance agency of your choice. As the European Health Card does not cover certain costs (e.g. transportation in an ambulance or the cost of stay in hospital) you should purchase an additional private insurance policy anyway for the whole study period. It is also worth insuring some precious belongings, which you are going to take with you, such as a laptop. If you are going to study in Turkey, please contact your host university to find out about the exact procedures required with respect to insurance policies for Erasmus students in Turkey. 9. Residence legalization Find out from your host university or the embassy of the country where you are going to study about the procedures you must follow to legalise your stay (ex. you may be required to submit several recent photographs and a letter of nomination ). 10. Applying for a visa If you are a non-eu citizen, find out on the website of the partner university what steps to take in order to obtain a visa and legalise your stay abroad and/or contact the embassy yourself. Try to do it as soon as possible, since waiting for a visa may take a considerable amount of time and may require special documents (such as a certificate of no criminal record). You will need to see to all the visa procedures yourself. If an official letter of invitation is required by the embassy, ask the host university for a hard copy of your Letter of Invitation. If it is necessary, IRO UW can always issue a letter of nomination for you, including the information on the Erasmus grant. 11. Bank account The Erasmus grant will be transferred to your account in 2 installments from a UW account held in EURO. The UW covers the costs of the bank transfers to students. The account must be held in a Polish bank, but you decide about the currency of the account. If you choose: an account in PLN (Polish zloty) you must be the owner of the account; an account in a different currency (e.g. EUR, GBP, NOK) you don t have to be the owner of the account. The bank where your account is held must be a member of the SEPA consortium (The Single Euro Payments Area consortium). The list of all the Polish banks offering money transfers in this system is available at: (SEPA Credit Transfer, CSV file). 8

9 The details of your bank account must be entered in your USOSweb profile. Do it 1 day before you plan to sign the financial agreement at IRO at the latest. student s section > student exchange > mobilities > bank account You can only add a non-pln bank account in your USOSweb profile. If you would like to receive the grant into a PLN account, you need to ask the Dean s office / secretariat to add this account to your profile. If you received any kind of money benefits from the UW in the recent years, your PLN bank account details are already in the USOS system. We can transfer the grant to this account. Filling in the account details in your USOSweb profile make sure that: - your first name and surname are exactly the same as in your bank agreement - your address in USOS and in the bank agreement are identical otherwise, the bank may reject the transfer. If you are going to use someone else s account held in EUR, as a proxy you must give the exact name and surname of the account owner You will be asked to give the following data: Nazwa konta the full name of the account holder Account number (26 digits) Currency Full name of the bank SWIFT code (or BIC) of the bank; 12. Erasmus Grant The Erasmus grant per month falls into three groups: a) 500 euro Austria, Denmark, Finland, France, Ireland, Lichtenstein, Norway, Sweden, Great Britain, Italy; b) 450 euro Belgium, Croatia, Cyprus, the Czech Republic, Greece, Spain, the Netherlands, Iceland, Luxemburg, Germany, Portugal, Slovenia, Turkey; c) 350 euro Bulgaria, Estonia, Lithuania, Latvia, Malta, Romania, Slovakia, Hungary, Macedonia. 9

10 You will receive the grant for the study period at the host university stated in your Letter of Acceptance, but not longer than 5 months = 150 days. If you would like to study at the host university for a full year, the procedure to extend your study period will open in October. Please note! There will be no grant for the extended study period, unless the University of Warsaw has a money reserve to cover the scholarships of all the students who extend their stays. Whether or not the UW has the sufficient funds will not be known until the end of The fees you need to pay for your dormitory (ex. for 6 months) have no effect on the amount of the Erasmus grant, which is calculated for the study period only. The number of days for which you will receive your grant will be counted using the European Commission s calculator and will be counted to the day (where 1 day makes a difference in the amount of the grant). The calculation is based on the mobility start date and mobility end date. 90% + 10% Provided you submit all the required documents to IRO UW, the first money transfer will be in your account 2-3 weeks after you sign the financial agreement and it will contain 90% of the amount in the financial agreement. The second transfer will be made when you have submitted documents after the mobility it will contain the remaining 10% of the amount (provided you do not shorten your study period and you obtain sufficient number of ECTS). The final amount of the grant will be confirmed after the mobility, based on the Letter of Confirmation issued by the host university at the end of your stay. If the confirmed period of studies is shorter than in the original agreement, your grant will be reduced and the final payment may be lower than initially planned. In some cases (if your period of stay is much shorter than in the agreement) you may be asked to return a part of the grant (then you will be charged with the cost of the bank transfer). Students who have a statement of disability may apply for additional financial support. Contact IRO UW for more information about the financial support for special needs. Important: What if my exam session is going to be longer than previously expected? If it turns out that your mobility start and end date are going to be different from the ones in the financial agreement you need to inform IRO UW about this fact (the dates in the agreement will be visible in your USOSweb profile). In such a case, in the last week of your studies (not earlier than 7 days before the actual end date) ask the host university to sign your Letter of Confirmation with the actual study period and send a scan or a good photo of this document to IRO before the end of the study period. 10

11 If your study period is longer by a few days and if the UW has additional funds, you may be given a grant for the extra days of studies, as long as you send your Letter of confirmation to IRO before the end of your study period. Very important! It will not be possible for IRO to grant you additional funds after the end of the study period stated in the Letter of Confirmation. According to the European Commission s guidelines, the decision about granting you additional money must be taken during your studies abroad not after you finish your study period. If you submit a Letter of Confirmation stating a longer period of studies, after your mobility end date, you will not receive additional funds for the extended period of studie). Even more Important! If you obtain unsatisfactory results: fewer than 11 ECTS per term and fewer than 21 ECTS per year at the host university, you will not be entitled to receive 10% of the final amount of the grant (you will be allowed to keep 90% of the final amount of the grant, calculated when you come back) 13. Financial Agreement at IRO According to the European Commission s decision, every outgoing Erasmus student must sign an individual financial agreement before the beginning of their studies abroad, irrespective of whether they receive the Erasmus grant or not. About 2-3 weeks before the start of your studies abroad come to IRO to sign the financial agreement (you cannot do it before the IRO announces the start of signing agreements this year the announcement will be made and sent to you in late July or early August). If you are going to do your Erasmus studies in the 2nd term, you don t need to wait for another announcement just come to IRO 2-3 weeks before your planned departure. If you are going to be away from Warsaw when the time to sign your agreement comes you will be able to conclude the agreement by and post. Make sure you submit all the required documents in advance. More detailed information will be provided in further correspondence inviting you to sign the agreement. Non-Polish speaking students will sign the agreement in two languages: Polish (the legally binding version) and English. What is required in order to sign the agreement? 1. Letter of acceptance/ invitation a formal letter or a printout of an with confirmation of acceptance, with the exact dates when you have to be present at the host university and when your study period is going to end; 11

12 2. Leaning Agreement BEFORE the Mobility (a printout of a scan of the form signed by the UW, you and the host university); 3. Insurance policy / European Health Insurance Card; 4. OLS test (if applies) we will see your results in the system; At least 1 day before you come to IRO 5. Enter all the courses you are going to take at the host university in your e-la. At this stage your e-la should be approved electronically by your Erasmus Departmental Coordinator (if it is not approved on the day we sign the agreement, it must be done within the first 3 weeks of your studies abroad) 6. Enter your bank account data in your USOSweb profile (see point 11 above). Important! If you have just completed the last year of your BA studies (first cycle) and you are going to study abroad during the winter term of your first MA year (second cycle), you need to submit to the IRO UW 7. a copy of the DECISION issued by your Dean s Office, stating that you have been enrolled for the second cycle of studies. Important! If any of your exams at the UW remains outstanding e.g. if you failed an exam in the summer exam session, if the result is yet unknown, or if you have a conditional pass, you need to submit to the IRO UW 8. a consent from your Erasmus Departmental Coordinator, confirming that you are permitted to go on Erasmus exchange despite the outstanding exams (an from the coordinator, allowing you to go will be sufficient). Very important! IRO UW will pay out your grant only after you sign the financial agreement and submit all the required documents. In such a case, you will receive your grant within 3 weeks of submitting the last missing document. 12

13 When abroad 1. Upon arrival at the partner university Legalise your stay (ex. at the immigration office or at the closest police station). Take your ID or your passport and a couple of photographs. You may be asked to submit additional documents (ex. registration certificate, a certificate from the UW stating your Erasmus student status, insurance policy). You may also be asked to prove having sufficient financial means (each country determines an amount of money which is deemed sufficient for subsistence without the need to use social services - typically this amount corresponds to the social minimum in the given country). 2. If you have problems abroad Remember, you are not alone! If you have any serious problems, contact: Erasmus Coordinators (Departmental and Institutional) at the host university; administrative staff at the international relations office at the host university; your Departmental Coordinator at the UW; student-tutor from students organization at the host university (e.g. Erasmus Student Network), staff members at the IRO UW. 3. Changes to your e-la = LA During the mobility Any change to the Learning Agreement you need to make, must be made in the e-la in your USOSweb. Within 3 weeks from the beginning of the academic term at the partner university you can still make changes to the originally signed electronic Learning Agreement. In order to do it follow the steps below: a) contact the Erasmus Departmental Coordinator at the UW, asking him/ her to allow you to make changes to your e-la; b) You will be able to change your e-la (cancel a course or add a new one) only after your Erasmus Departmental Coordinator at the UW has allowed you to modify your study program in the USOSweb system (by clicking the button edit the LA or annul previous acceptance - the latter option must not be used if the original study plan has been signed by the partner university); c) having modified your e-la, contact your Erasmus Departmental Coordinator at the UW again, asking him/her to approve the changes you have made; d) print out the final, accepted version of your e-la from USOSweb: mobilities > learning agreement > print agreement (a blue arrow in the middle of the page) e) Then, ask the Erasmus Coordinator at the host university to sign the document. The e-la printed from the UW system does not need signatures or stamps of the coordinators at the UW. The printout contains information that this document is generated from the USOS 13

14 system, which means that it has been approved by both the Departmental and Institutional Coordinators. Please note! The printed, final version of e-la should be signed by the partner university not later than 1 month after the start of the term. Please note! There is no need to send your e-la printouts to the IRO UW while you are abroad. The document (stamped and signed by the coordinators of the partner university) can be submitted upon your return, however no later than 31 April/15 September 2018 in the case of the students coming back in winter/summer term respectively. Important! Do not print your e-la if there is an inscription/watermark: DRAFT VERSION across the document. This watermark means that the study plan in your e-la has not been approved by the Erasmus Coordinator at the UW. Ask the Coordinator to approve your e-la before you print it. Please note! In exceptional cases, you will be able to make more changes to an already modified e-la, provided the Erasmus Departmental Coordinator at the UW allows you to do it. In such a case, follow the steps described above. Please note! If you have been allowed to extend your study period to the second term, you must add the courses to be done in the 2 nd term. Similarly, if you want to make changes to your e-la in the second term, follow the steps described above. e-la During the mobility a summary 4. Letter of Confirmation in the last week of your studies abroad 14

15 In the last week of your studies abroad, remember to ask the Erasmus Office at the host University to sign your Letter of Confirmation. Send a scan of the document do the IRO UW and later, submit the original (before the deadline). After your mobility 1. Documents to be submitted at the IRO Visit the IRO UW immediately after you finish your studies abroad, not later than: 31 March 2018 if you are studying abroad in the winter term; 15 September 2018 if you are studying abroad in the summer term or during the whole academic year. Bring the following documents: a) Letter of Confirmation (original) the first document to be submitted - stating the exact dates of the beginning and end of your study period b) your final version of e-la from USOSweb (LA During the mobility) signed by the Erasmus Coordinator at the partner university (if you ve made any changes); c) Transcript of Records or other document proving your academic records at the host university it will be sent to you us to a few months after your mobility; If you cannot visit our office immediately after you finish your mobility, send us the documents listed above as scans (in pdf files) and submit the originals at a later time. Complete two documents online: d) Erasmus student report an obligatory survey; it will be sent to your account on the last day of your mobility (the day will be visible in your USOSweb profile); e) Final OLS language test (it will be sent to you in the middle of the last month of your mobility). Please Note! The issue date on your Letter of Confirmation cannot be earlier than 7 days before the end of studies date, otherwise we will not be able to accept the document (ex. if this document confirms that you studied till January, 31 it must be issued earliest, January, 25). Please Note! You can submit all the documents at once, or gradually. Most likely, your Transcript of Records will be sent to you several weeks after you finish your studies abroad. Before your departure, make sure what address it will be sent to: IRO UW, your faculty or your home address. 15

16 2. Documents to be submitted at your department You need to present all the documents listed above to your Erasmus Departmental Coordinator (at the IRO UW we keep only copies of the original documents) so that your department can close your study period abroad. Step 1 The Erasmus Departmental Coordinator will re-evaluate the marks in your Transcript of Records according to the UW grading system. The grades will be converted to the Polish grading scale. Step 2 The Coordinator should allow you to make changes in the previously accepted version of e-la, so that you can add the Polish grades to it, or correct the number of ECTS. Step 3 You need to enter the grades obtained abroad (in the Polish grading system) into your e-la, via USOSweb system click Edit next to every course and add the grade. You may also need to correct the number of ECTS for each course, if the number of points in the e-la differs from the number of actually obtained points, as shown in your Transcript of Records. Step 4 You need to submit your Transcript of Records to the Dean s Office or to the person indicated by the Coordinator. This person will verify correctness of the grades and ECTS in the USOS system and will finally mark each course as ultimately accepted. Step 5 Having obtained grades in the outstanding courses that you were obliged to take at the UW (if you had such an obligation) your term / academic year abroad will finally be closed. Step 6 Inform IRO UW (an ) that your grades from the host university have been approved in USOS by your Dean s Offices. A list of documents to be submitted to IRO after the mobility: 16
