3 About CIMAM CIMAM International Committee for Museums and Collections of Modern Art is an affiliated committee of ICOM*. Founded in 1962, CIMAM s vision is a world where the contribution of museums, collections and archives of modern and contemporary art to the cultural, social and economic well-being of society is recognized and respected. CIMAM s aim is to foster a global network of museums and museum professionals in the field of modern and contemporary art in order to raise awareness and respond to the evolving needs of modern and contemporary museums, and to take a leadership role on issues of concern. By generating debate and encouraging co-operation between art institutions and individuals at different stages of development around the world, CIMAM plays a key role in growth of the sector. *ICOM International Council of Museums is a network of more than 35,000 members and museum professionals created in 1946 who represent the global museum community. 3
4 Key Activities An annual conference which brings together members from different parts of the world to debate theoretical, ethical and practical issues concerning the collection and exhibition of modern and contemporary art, and to share experiences, followed by visits to the foremost contemporary art institutions, collections and projects in the region. The first CIMAM Annual Conference took place in 1962 in The Hague. Since then the Committee has celebrated 48 conferences that have been held in over 30 different cities around the globe. The establishment of professional codes of practice and ethical standards for institutions and individuals. CIMAM generated and adopted in 2009 the General Principles on Conditions of Deaccession from Modern and Contemporary Museum Collections. Museum Watch, an advocacy program addressing critical situations that impact on the ability of museums and galleries of modern and contemporary art to maintain the codes of practice and standards, initiated in Development of a supportive network for professional development. CIMAM s Travel Grant Program supports individuals curatorial and research development through their attendance at the Annual Conference. Since 2005 CIMAM has supported over 300 young curators and museum directors in attending the Annual Conference. 4
5 CIMAM s membership program. Current membership includes over five hundred contemporary art curators and directors of contemporary art museums and collections, independent curators and researchers from 85 different countries. Free admission program to a network of museums worldwide. CIMAM is run by an international board of 15 museum directors and curators who serve voluntarily. Every 3 years at the General Assembly, CIMAM Members vote for qualified museum professionals to represent them as board members. CIMAM s programs and activities are run by an executive team based in Barcelona, Spain. CIMAM 2017 Annual Conference in Singapore 5
6 CIMAM in Numbers In 2017, the first year of the membership triennial, CIMAM reached 384 Members from 71 different countries. 48% Museum Directors 28% Chief Curator and Curators 15% Head of Collections and related museum positions 9% Independent Curators and researchers 15 Board Members from 14 countries. Members of the board work on a voluntary basis. The estimated volunteer hours dedicated to CIMAM in 2017 by the Board of Members was of hrs. 30 advocacy Museum Watch campaigns addressing critical situations impacting on museums and institutions of contemporary since A network of over 100 art museums and biennials allowing free entrance to card carrying CIMAM Members. 48 Annual Conferences in over 30 different cities around the globe since delegates in Doha, 260 in Tokyo, 230 in Barcelona and 280 in Singapore reaching every year the maximum capacity allowed at the Annual Conference. Over 300 young curators and museum directors from emerging economies awarded support to attend CIMAM s Annual Conference thanks to our Travel Grant Program since CIMAM is a largely volunteer driven organization. Total 2017 expenses were of ,04 from which over 50% were dedicated to programs and services for CIMAM members. The operating expenses in 2017 were of ,33 consisting in 2 employees. 6

11 The Annual Conference The first CIMAM Annual Conference took place in 1962 in The Hague. Since then the Committee has celebrated 48 conferences that have been held in over 30 different cities around the globe. The Annual Conference is CIMAM s most important contribution to the field, a meeting point for contemporary art professionals and an essential resource for the collaboration and cooperation between museum and visual art professionals, artists and other institutions concerned with modern and contemporary art. The three-day event brings together members from different parts of the world to debate theoretical, ethical and practical issues about the collection and exhibition of modern and contemporary art, and to share experiences, followed by visits to the foremost contemporary art institutions, collections and projects in the region. The Annual Conference is attended by directors and curators of modern and contemporary art museums and also by independent professionals. The active implication of delegates is requested through extended Q&A, panel discussions and workshops. 11

15 Contents dissemination The contents of the CIMAM Annual Conferences are of theoretical and practical interest to CIMAM s Members, scholars, students and the professional contemporary art community at large. After each CIMAM Annual Conference, the proceedings are edited and published online with the aim to make the contents both as key contributions, and as reference material for the research and production of contemporary art knowledge available to anyone through the CIMAM website. The video recorded conference sessions are also available at CIMAM TV, our Vimeo channel where everyone interested can watch the presentations for free (since 2013). 16 Guidelines for CIMAM Annual Conference Hosts Overview The Annual Conference consists of a three-day program of keynote presentations, case studies (perspectives) and panel discussions, as well as visits to the contemporary art museums and other institutions in the hosting city. This main event is followed by a post-conference tour within the region, to enable a comprehensive overview of the professional context and the diversity of local institutions. Host Responsibilities Either the hosting institution or its Director should be a Member of CIMAM. The hosting institution is responsible for raising the sufficient funds (in-kind or cash sponsorship) to defray the costs of organizing the CIMAM Annual Conference and to guarantee its quality and successful development. The host should cover most organization expenses (90%). See Conference Funding section for more details. 16
17 The Members of the Board of CIMAM, together with the Director of the hosting institution, are responsible for the conference contents (theme and invited speakers). The hosting institution should designate a team or hire professional staff responsible for giving full support to the organization of the Annual Conference. The Annual Conference is always co-organized with CIMAM s executive team. CIMAM acts as advisor to the host in the organization of the conference. The local host is responsible for developing the local arrangements for the meeting. It includes: identify 3 days in November. locate and secure auditoriums for at least 200 delegates. identify sponsors to raise the sufficient funds. locate and secure accommodation for participants. plan and execute special events. plan and secure transportation. arrange catering for coffee breaks, lunches, receptions during the three conference days and inaugural dinner. produce conference materials (tote bags, conference booklets, pens and name tags). Designs are provided by CIMAM. arrange audio, videography and photography equipment and staff 17
18 to record the conference sessions, including post-production editing. design the program of visits to explore the art scene of the hosting city. The involvement and support of the local art institutions is essential. identify and propose a destination for the tour two days (1 night) after the conference. The host should also identify and secure sponsors and a program of visits. Conference Funding The host is expected to cover most organization expenses (90%) They include, among others: - Auditoriums. - Transportation. - Catering. - Facilities and AV equipment. - Photography and videography. - Conference staff (local executive team and hostess). - Conference materials (booklet, pens, bags etc). - Speakers accommodation and flights. - Inaugural dinner. - Board meeting facilities. - Communication: one e-flux. - CIMAM staff (2) accommodation in the hosting city. 18
19 As a general rule, CIMAM covers the speaker s honorariums, insurance and visa expenses, board meeting coffee service, CIMAM staff flights and subsistence allowance in hosting city, designs for the booklet and conference materials and CIMAM staff costs for the Post Conference trip (tour fee). Below is the total sponsorship (in cash and in-kind support) that Hosts have raised in previous years to cover the conference expenses listed above: Singapore 2017: ,00 Barcelona 2016: ,81 Tokyo 2015: ,45 Doha 2014: 118,519,75 CIMAM s registration fee to attend the conference (350,00 and 490,00 for non-cimam Members) includes: - Access to all conference sessions - Conference lunches, dinners and refreshment breaks - Access to organized visits - Coach service to and from planned visits - All registered delegates receive a tote bag with a copy of the conference program. (Accommodation and airfare are not included). 19
20 The average real cost per participant is of 900, ,00 Euros (depending on the country). All registration fees are received and kept for CIMAM. This is one of the main income sources together with the membership fees to sustain CIMAM during the year and triennial. Production and Organization Calendar The conference host is expected to work closely with CIMAM s executive team and meet the deadlines suggested by the office: November February: Research and prepare proposals for sponsors, auditoriums, hotels and tour destination. February May: present a preliminary program of visits and set up deals with suppliers (hotels, transportation, catering, auditoriums, AV equipment, conference staff and conference materials, among others). May 30 September: Registration period. June November: Finalize arrangements with all suppliers, speakers, prepare booklet, among others. 20
