To learn more about Phillips Exeter Academy, visit The Position The Collections & Exhibitions Manager will contribute to the Lamont Gallery s comprehensive collections inventory/management project, and will oversee all aspects of the care and management of works of art owned by the Lamont Gallery as well as contribute to the management and installation of collections-related exhibitions. The CEM will also serve as preparator and installation manager for the gallery s rotating exhibition program and will contribute to organizing, installing, and managing the display of work for gallery exhibitions and special off-site projects. The position also supports general gallery operations and events. This position will report to the gallery director and curator. Qualifications: The successful candidate will have a Bachelor s degree, preferably in art, art history, museum studies, library science or a related field. Master s level preferred. Professional experience with collections management in a professional setting (outside of the context of a course). Project management skills a plus. Ability to work with a range of constituents including students, faculty, staff, alumni, donors and outside institutions. Attention to detail, flexibility, a sense of humor, discretion, and inventiveness in problem-solving exhibitions and collections issues with minimal resources. Commitment to diversity & inclusion. Key Accountabilities The Collections & Exhibitions Manager has several main areas of responsibility: collections management, exhibitions installation coordination, and general gallery operations: Collections management Oversees the Collections Management Initiative, integrating best practices from AAM and AAMG when possible. Conducts a comprehensive object inventory of Lamont Gallery collections in gallery storage and across campus. Organizes and manages records that provide information on the history, provenance, status, condition, and location of collections objects, working in collaboration with gallery staff, the Institutional Advancement, Archives, Facilities and Finance departments where relevant. Creates and/or maintains a standard protocol for object files.
3 Oversees or maintains the reorganization of safe and proper storage of artworks in the collection and on loan; coordinates off-site art storage when necessary. Creates, organizes and maintains loan agreements and related documents for collections-related works. Contributes to the development and maintenance of a digital collections management system; coordinates photographic documentation of works in the collection. Helps identify objects requiring conservation treatment and work with conservators to address these needs. Coordinates appraisals and works with Finance to update insurance coverage. Supervises art-handling, preparation, installation, packing and shipping associated with work from the collection. Assists director and curator, faculty, students, individuals and institutions engaged in program/curricular development or research and scholarship pertaining to Lamont Gallery collection; provides access to the collection. Keeps collections storage organized, clean, and up-to-date. Serves as courier for regional, national or international loans; manages reproduction requests. Oversees the deaccessioning process when necessary. Contributes to policy, program, facilities, and budget planning for future collections care needs as they arise. Exhibitions management Works with exhibiting artists/galleries/museums and gallery staff to arrange for loan of artwork for rotating exhibitions program. Facilitates artwork deliveries (self, artist, or other shipping methods), creating inventory lists, overseeing unpacking, repacking, and shipping. Provides incoming/outgoing condition reports. Oversees and performs installation of artwork for gallery exhibitions and off-site exhibitions projects; contributes to development of exhibition installation timeline; meets installation deadlines. Contributes to special installation design and mounting needs, including researching, acquisitions, and building exhibition components. Works with gallery manager for the administrative organization of exhibition logistics; oversees exhibition installation planning and material conditions. Helps to troubleshoot gallery facilities issues and contributes to problem solving those issues. Works with Facilities, oversees keeping gallery organized, clean, and professional. Gallery operations Contributes to general gallery management and administration including providing gallery coverage during open hours, assisting visitors, responding to general inquiries, supporting periodic curricular initiatives as directed. Sets up, breaks down, and staffs select events (day/evening/weekend, TBD). Maintains and purchases exhibition and collections supplies and materials. Contributes to maintaining professional, clean, and organized gallery space(s) including the gallery proper, storage, and workspace areas. Assists with campus-wide gallery or collaborative arts projects in conjunction with curricular or institutional partners. Other duties as assigned. Internal & External Contacts Frequent contact with Gallery staff and consultants as well as the Director and Curator of the Lamont Gallery, students, PEA administrative and academic offices, faculty, coaches, and staff. External contacts may include parents, outside organizations, visitors and local community neighbors. Position Requirements Skills & Knowledge Experience Education Significant background in exhibition development, installation, and collections management. Facility with technology including Microsoft Office, Photoshop/graphics software, and familiarity with collections management database systems. Prior exhibitions and collections management experience in galleries/museums. Direct experience with shipping, condition reports, art handling, and best practices for exhibitions & collections. Project management experience desirable. Bachelor s degree a must, preferably in art, art history, museum studies, library science or a related field. Master s level preferred. Professional experience with collections management in a professional setting (outside of the context of a course). Familiarity with basic hanging, building and tool use associated with exhibitions. Knowledge of professional art shipping including packing for 2 & 3D works. Strong interpersonal skills with ability to develop and maintain collegial relationships. Excellent communication (written and verbal) skills. Excellent analytical and problem solving skills.
5 Ability to work independently and handle multiple priorities and deadlines simultaneously. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example using a keyboard. 9. Communication skills using the spoken and written word. 10. Ability to see with normal parameters. 11. Ability to use a visual display terminal with continuous wrist movement on a keyboard. 12. Ability to hear within normal range. Additional Requirements 1.
