8 Required Fields for Non-Precoded Scantrons Complete the required fields following the description and examples below. 9 Precoded Scantrons for District Assessments All precoded scantrons will be printed in the district assessment office and delivered to campuses. Delivery dates can be found on page 5 under Local Assessments. Teachers should ask their counselors where to pick up their scantrons and tests prior to the scheduled assessment dates. Grades 3-5 Scantrons for Students Administered a Spanish Version Test: All precoded scantrons will be coded to the English Version of the assessment. Do not bubble the English or Spanish code under the language field on the scantron. This will cause the scantron not to scan. If your students are testing in Spanish, please complete the Student Test Version document shared with you by Jennifer Rust. If this document has not been shared with you, please her and request access to the document. Once your scantrons have been scanned, Jennifer will recoded the students listed on the Student Test Version document to the Spanish test version. This will rescore them to the correct Spanish version answer key. To expedite this process, please send Jennifer Rust an after you have scanned them. jrust@ptisd.org 9

10 Manual Entry of Answer Documents for ESPMS & Grades K-12 Assessments This option is will be used to manually enter answer for students that do not have a precoded paper answer document for an ESPM. Teachers should have the student mark his/her answers on the answer document. Step 1: Select New under the Documents tab. Step 2: Select the test. 10

11 Step 3: Click on the icon. Select the semester and the student s class period. Step 4: Click the student s name. Enter the student s responses. Then click Score. Note: For Paper Answer Documents For rubric questions, you must enter a letter response such as ABCD or E for odd numbered questions and FGHJ or K for even numbered resonses. DMAC will not allow number entries for rubric questions. 0 = A/F 1 = B/G 2 = C/H 3 = D/J 4 = E/K 11

25 TEKScore: Creating Test Keys for Common Assessments All common assessment keys should be entered into DMAC using the following format. Common assessment version numbers will begin with 600. For example, a grade 5 science common assessment would be named SC E Science SC SC = Science MA = Math SS = Social Studies RE = Reading WR = Writing Grade 5 Version # should begin with 600, i.e. 601, 602, 603, etc. To Begin: Select Test Keys in TEKScore 25

26 Select New Test Key Select the subject, grade, version, language, and name the test. Click Save. Begin with a 600 number, i.e. 601, 602, 603, etc. 26

27 Select Content Select the subject, course, and then click save. After you click save, you'll see the subject and selected course appear 27

28 Select Key. Select Dual Code to add Process SEs. Click inside the box under TEKS to select an SE. Answers should be alternating. To increase the number of items on the test, change the number inside the "Items" box. Click Save. Click Plain Paper to approve the key so that you may print paper answer documents. 37 Pine Tree ISD K-4 Assessment Administration Guidelines Why Assessments?: The purpose of using assessments in the district is to gather and use data to make instructional decisions. A variety of assessments are necessary to provide multiple data points to identify specific student interventions and instructional needs. General Notes: For Grades 1-4, all CAs, CBAs, and Benchmark Assessments will be administered in the morning. All precautions should be taken to avoid students cheating. Teachers should not plan a day or class period to review for assessments prior to CA or CBA administrations. This practice does not provide valid data of students performance. However, you can use similar assessment questions as your daily spiral review. CBA and Benchmark Assessment data will be sent to parents within five to seven school days from administration of Assessment. All content data (math, reading, science, and writing, as applicable) should be sent to parents at one time, and not separately. The actual Common Assessment pages may be sent home with students, but the CBA and Benchmarks should not be sent home. These should be filed until the end of the year and then shredded. In order to ensure instruction is aligned to the content, context, and cognition-type of the assessment questions, teachers should review and analyze each CA, CBA/Benchmark during PLC/collaborative planning meetings. This should be done prior to beginning instruction to ensure alignment to the assessment. Copies should not be made available to teachers beyond this initial review during PLC/collaborative planning. Kindergarten: Mathematics - All Kindergarten Math Curriculum Based Assessments (CBA) and the EOY Benchmark Assessment will be administered one-on-one or small group. CBA s are administered in October and April. Benchmarks are administered in December and May. Students should be allowed and encouraged to use journals, anchor charts, and any manipulatives they need. Reading - No reading Common Assessments or CBA/Benchmark Assessments are administered in Kindergarten. Sight words will be administered one-on-one. Sight words are assessed weekly. Running records and Fountas and Pinnell Benchmark Assessments will be administered according to the PTISD Benchmark Assessment/Running Record Guidelines. First Grade: Mathematics - CA s are created at the campus level and approved by the Math Coordinator, while CBAs and the Benchmark are created by the Math Coordinator at the district level. When a multiple choice question is given, there will be three answer choices offered on CAs, CBAs, and Benchmarks instead of the 4 choices offered at 3rd grade and above. Typically, CA s, CBA s and Benchmark Assessments will be written at the students expected reading level for the six weeks in which they are administered. For the first two CA administrations, the teacher may read aloud the test questions and answers to 37

38 students as a whole class or in small group. Thereafter, the RtI committee will determine if oral administration (OA) is appropriate on all Assessments (CAs, CBAs, and Benchmark Assessments) following TEA s Oral Administration Eligibility Guidelines. When OA has been deemed appropriate the test administrator will read the questions and answer choices aloud to the student. This accommodation should be recorded on the test document and noted on any correspondence with parents. ALL students may request assistance with words and phrases as allowed by TEA s guidelines for the 3rd grade STAAR Math test. Reading - Common Assessments (CA) will be given every 3-4 weeks focused on previously taught TEKS. CAs are created at the campus level and approved by the ELA/R Coordinator. Curriculum Based Assessments (CBA)/Benchmark Assessments are created at the district level by the ELA/R Coordinator and administered four times during the school year. When a multiple choice question is given, there will be three answer choices offered on CAs, CBAs, and Benchmarks instead of the 4 choices offered at 3rd grade and above. All CAs, CBAs and Benchmark Assessments are written at the reading level expected at that time of year. Therefore, the CA, CBA, and Benchmark passages will be read independently by the student. The RtI committee will determine if oral administration (OA) is appropriate on all Assessments (CAs, CBAs, and Benchmark Assessments) following TEA s Oral Administration Eligibility Guidelines. When OA has been deemed appropriate, the test administrator will read the questions and answer choices aloud to the student. The passage will be read independently by the student. This accommodation should be recorded on the test document and noted on any correspondence with parents. Second Grade: Mathematics- CAs are created at the campus level and approved by the Math Coordinator, while CBAs and the Benchmark are created by the Math Coordinator at the district level. When a multiple choice question is given, there will be three answer choices offered on CAs and CBAs instead of the 4 choices offered at 3rd grade and above. The final CBA administered in May will have four answer choices to align with STAAR and to prepare students for the subsequent grade level. All CAs, CBAs and Benchmark Assessments will be written at the students expected reading level for the six weeks in which they are administered and should be read independently unless otherwise stated by ARD, 504, or RtI paperwork. The RtI/504/or ARD committee will determine if oral administration (OA) is appropriate on all Assessments (CAs, CBAs, and Benchmark Assessments) following TEA s Oral Administration Eligibility Guidelines. When OA has been deemed appropriate, the test administrator will read the questions and answer choices aloud to the student. This accommodation should be recorded on the test document and noted on any correspondence with parents. ALL students may request assistance with words and phrases as allowed by TEA s guidelines for the 3rd grade STAAR Math test. Students may use journals and anchor charts for any assessment prior to the EOY benchmark. The EOY assessment should be completed without journals or anchor charts. 38

39 Reading - CAs will be given every 3-4 weeks focused on previously taught TEKS. CAs are created at the campus level and approved by the ELA/R Coordinator. Curriculum Based Assessments (CBA)/Benchmark Assessments are created at the district level by the ELA/R Coordinator and administered four times during the school year. When a multiple choice question is given, there will be three answer choices offered on CAs, CBAs, and Benchmark Assessments instead of the 4 choices offered at 3rd grade and above. The final CBA administered in May will have four answer choices to align with STAAR and to prepare students for the subsequent grade level. Benchmarks are the latest Released STAAR test. Students will read all questions and answer choices independently, unless documented through ARD, 504, or RtI paperwork. The RtI/504/ARD committee will determine if oral administration (OA) is appropriate on all Assessments (CAs, CBAs, and Benchmark Assessments) following TEA s Oral Administration Eligibility Guidelines. When OA has been deemed appropriate, the test administrator will read the questions and answer choices aloud to the student. Students may use their journals for all assessments, with the exception of the final Benchmark Assessment prior to STAAR administration. 40 by the Science Coordinator and administered three times a year. Students may use their Science journals for all assessments with the exception of the final Benchmark. 44 Pine Tree ISD 5-12 Assessment Administration Guidelines Why Assessments?: The purpose of using assessments in the district is to gather and use data to make instructional decisions. A variety of assessments are necessary to provide multiple data points to identify specific student interventions and instructional needs. General Notes: For Grades 5-12, all Common Assessments (CA), and Curriculum Based Assessments (CBA) will be administered during student s class periods. Benchmark Assessments (BA) will follow STAAR/EOC procedures and accommodations and all students will begin testing in the morning. All precautions should be taken, including active monitoring, to avoid cheating. CBA and BA data will be sent to parents within five to seven school days from administration of assessment. All content data (math, reading, science, social studies, and writing, as applicable) should be reported to parents following your campus reporting procedures. Definition of Terms Common Assessment (CA) - an assessment of targeted skills created for the purpose of guiding future instruction and intervention. CAs are generally administered every two to three weeks. Curriculum Based Assessment (CBA)- a common assessment of academic skills that uses student performance of the local curriculum as a basis for gathering information to make instructional decisions. CBAs are generally given two to three times per year according to grade level and subject. These are developed by district level coordinators using STAAR/EOC aligned questions. Benchmark Assessment (BA) - a curriculum based assessment used to evaluate learning over the entire year s assessed curriculum. Once per year, during the second semester, BAs are administered to STAAR/EOC assessed subject areas using the most recent version of STAAR/EOC Released tests. Procedures for giving this test are similar to STAAR/EOC procedures and logistics. Data from this assessment is used to make final instructional decisions to prepare students for STAAR/EOC. Grades 5-12: Mathematics and Science- CAs are created at the campus level and approved by the Math and Science Coordinator. However, CBAs are created by the district coordinator after teachers have reviewed and provided input. Benchmarks are administered once a year to STAAR/EOC assessed grade levels using the most recent Released STAAR/EOC test. CAs will be given every 2-3 weeks and are focused on previously taught TEKS. Students will read all questions and answer choices independently, unless a reading difficulty has been documented through either ARD, 504, or RtI paperwork. In such cases, TEA s Oral Admin guidelines should be followed. Students may use their journals for CAs only if department unanimously agrees and uses. Reading, Writing and Social Studies - CAs will be given every 2-3 weeks focused on previously taught TEKS. CAs are created at the campus level and approved by the ELA/R Coordinator. Curriculum Based Assessments (CBA) are created at the district level by the ELA/R and SS Coordinator and administered two - three times during the school year, as applicable per grade level. Benchmarks are administered once a year to STAAR/EOC assessed grade levels using the most recent Released STAAR/EOC test. Students will read all questions and answer choices independently, unless documented through ARD, 504, or RtI paperwork. In such cases, TEA s guidelines should be followed. 47 Pine Tree ISD Essential Standard Progress Monitors Protocol Essential Standard Progress Monitors (ESPM) will be written by the curriculum coordinators and administered three times per year: beginning of the year (BOY), middle of the year, (MOY) and end of the year (EOY). Essential Standard Progress Monitors are based on the grade level and subject Texas Essential Knowledge and Skills (TEKS). These standards were determined by vertical alignment teams in May 2017 for Science, Mathematics, and ELAR. Essential Standard Progress Monitors will be taken up and turned into the campus principal after each administration. The progress monitors can be destroyed once they have been turned into the campus secretary. Additional copies will be made for each administration of the progress monitor. Administration of the Assessment: The ESPM will not be read to the students and will be taken in one class period. Extra time will not be permitted. ESPMs will not be recorded in the grade book. Each grade level/subject will administer the ESPMs on the same day. The designated day will be decided in a common planning meeting. Reviewing of the ESPM assessments after the students have taken the test is not permitted. Reteach of Essential Standards should take place as they occur within the YAG, not as a direct review before or after this ESPM administration. Each campus is responsible for scanning into DMAC their own student scantrons within two days of administration. Each campus will hold a grade level/subject data meeting to discuss the student results of the ESPMs within four days of the test administration. Accommodations on ESPMs are the same as the accommodations routinely given on all assessments and reflected in classroom room use. Refer to the students IEPs, 504 plans, RtI plans, or LPACs for these accommodations Reading the passages to the students is not allowed unless it is in their accommodations. ESPM Questions & Answers: 1. Who is making copies of the ESPM Assessments? The Assessment Office will make copies for the campuses. 47

48 2. Which scantrons are going to be used? Plain paper scantrons - To ensure the paper scantrons scan accurately, we recommend teachers have their students use a black marker to color over their pencil responses (bubbles) after they have answered all their questions. The assessment department will make copies of the plain paper scantrons. 3. Are we distributing the ESPMs for planning purposes; similar to CBAs? No, ESPMs will be delivered to the campuses in enough time to organize and distribute to the teachers. 4. What process will the campuses use to scan the ESPMs? Parkway (grades 3&4), Middle school, and JH will scan them using their Insight 20 scanners. HS and Birch (grades 3&4) will scan them using the D 110 copy machines. Primary, Birch (grades 1&2), and Parkway (grades 1&2) will hand enter their students responses just as they do for CBAs. 5. How do teachers enter students responses for Pre-K and Kindergarten progress monitors? Correct responses will be designated in DMAC as A. These must be hand entered into DMAC rather than using a scantron. 6. When will the MOY and EOY assessments be administered? There are designated dates for these assessments on the District Assessment Calendar. For Pre-K and Kindergarten BOY ESPM will be administered at the end of the first 9 weeks, MOY will be administered at the end of the second 9 weeks, and EOY will be administered at the end of the fourth 9 weeks. 48
