1 PTA General Membership Meeting Agenda/Minutes November 14, 2017 at 9:00 AM Minutes Kathy Tran called the meeting to order at 9:05 am. Treasurer s Update (Jamey Burden, Treasurer) Budget update: Jamey Burden covered income to date from Membership Dues/Donations and recent CFC disbursements from the 2017 contribution cycle. Under the Scripps/Other Fundraisers/Raffle line under Miscellaneous Income, Jamey Burden indicated a portion of that income was derived from pizza sales at the Ice Cream Social. Monica Bartos asked if we could break out Scripps and pizza sales, so it is easy to discern how well each performs given both are new efforts this year. Jamey indicated he could discern this without breaking it out but would look into it. Kathy Tran mentioned the Executive Board is going to begin looking at revenue/income and exploring options for how to handle any surplus. The Board will provide feedback on this analysis at the January General Membership Meeting. Communications (John Bartos, Secretary) John Bartos provided an overview of upcoming events including the FCPS Superintendent Town Hall at Irving MS, Dine out Night at Panera and Movie Night. John also circulated a Thank You card from Mrs. Best for the recent Staff Appreciation event and a copy of the Fairfax County Council of PTAs October Meeting Minutes. Committee Updates (Rainey Chase, Vice President/Chairs) Movie Night (Christine Birden, Vanessa Joly) Christine Birden provided an overview of the upcoming Movie Night: scheduled for December 1, doors open at 6, movie starts at 6:35. Fire code limits capacity to 200 people, so need to register on the SignUpGenius. The cost to attend is free, but the PTA will be selling pre ordered pizza by the slice ($1.50) or whole ($12) as well as water ($1); popcorn will be free. John Bartos indicated the link would go out in this week s KIT and would be posted on Facebook. Membership/Spiritwear/Community Service (Monica Bartos) Membership to date approximately ⅔ staff and ⅔ school. With directories going out, this Thursday, those who don t get directories will get reminder to join. While membership dues/donations $ is above previous years (and what was expected) need to keep in mind that we raised dues and increased suggested donation amt

If one family doesn t participate this year, that will have a large impact. Spiritwear PJ pants, staff purchased, some inventory left. Expect another invoice and small amt of additional income. CFC reminder going out in next week or so Community Service collecting food donations for deserving families for Thanksgiving counselor and social worker will help with identification of recipients and distribution. SCA officers would like to do a Giving Tree for the winter holiday. Working with them on a vision for the program and the PTA will help with implementation. Info to come. Fundraising/Scripps (Katie McCroskey, Amy Bell) Katie McCroskey provided an overview of the Scripps gift card fundraiser. Cards are purchased at face value, but PTA gets a percentage. A flyer/order form will go home in this week s Thursday folder and should be returned before December 5th. The PTA will be doing a single order to keep administrative costs from the vendor down; also considering whether to do another purchase in the spring prior to Mother s day/staff Appreciation Week. If there are cards you want but aren t on the list, contact Katie/Amy and they can check whether a particular retailer participates in the program. Box Tops (Erin East, Heather Gerlach, Lindsay Gutierrez) Box Top checks are issued in December and April, however the submissions deadlines are November 1st and March 1st. We submitted 5,621 Box Tops (5,314 were collected during the 1st Quarter; the remaining 307 were collected last June) by the November 1st deadline, which is $ Even though there are just two submission deadlines, we send Box Tops in throughout the year because of expiration dates. Last year we submitted Box Tops in May, resulting in a balance of $628.70, so we expect to receive a check in December for $1, Dine Out Nights (Lon Naylor) Ledos raised $550 over the two days last month. Panera is this Thursday, 4 8 flyers are required and are available on Facebook and the PTA Website; pre orders need to include the word FUND. No dine out in December; next one is Chipotle on January 17 from 5 9 PM. After School Programs & GLOBAL Plus (James Collins, Lobna Shokry, Rainey Chase)
3 PTA General Membership Meeting Agenda/Minutes November 14, 2017 at 9:00 AM Rainey Chase indicated we are looking for a new chair for next year; Danielle Seiger volunteered. Rainey Chase indicated there may be another individual willing to co chair. Directories (Rachel Burdo) Directories are here and will go home to PTA members on Thursday. A lot of families verified their information through the solicitation more than anticipated, per the vendor. Looking at ways to verify info earlier in the year so we can get them out earlier; currently using information from the school, but have to wait for the opt out deadline (Oct 15). As this is a non negotiable date, we can t do it any earlier if we stick with that model. Staff Appreciation (Janelle Bradford, Sally Barton) Janelle Bradford provided a recap of the Happy Harvest Staff Appreciation event. She commented the non perishable donations made donation collection easier. Teachers also liked the variety and, enjoyed the junk food. Pyramid Challenge (Vanessa Joly) Stacey Mann commented that everyone had a good time and it was extremely well attended. Good way to bring all the elementary schools together; kids really enjoyed themselves. John Bartos is exploring posting the video Mr. Rigsby made on the PTA website. Reflections (Dawn Grote) Rainey Chase indicated the deadline passed on October 30; waiting to hear back on submissions. Teacher Representative (John Bartos for Mr. Koontz) John Bartos indicated the teacher s representative didn t have anything to share this month. New business (Kathy Tran, President) Starting to think about STEAM lab fundraising last year s anonymous donor probably still interested, so looking to leverage that opportunity. Ben Miller going to help coordinate the fundraising plan; if anyone else is interested in joining the discussion, let Rainey know. FCPS Superintendent is having his community meeting tonight at Irving. FCCPTA Advocacy Night on Dec 4.

Some information is coming out in today s KIT PTA will continue to look for additional information and pass it as it becomes available. Kathy noted that PTA has not done much in terms of advocacy in past years, so we are trying to do more on that front. Review of October General PTA Meeting Minutes & Old Business (Kathy Tran, President) The October minutes were circulated; Ben Miller made a motion to approve the September minutes; Katie McCroskey seconded the motion. The minutes were unanimously approved by voice vote.
